Policy

Vacation Benefits

The College offers vacation time off with pay to regular full-time Employees. Employees are entitled to a paid vacation each year. Unless provided by a written employment contract, the length of vacation will be based on the Employee's position and continuous service with the College. Continuous service will be calculated from the date of most recent employment. Voluntary termination or discharge will be considered a complete break in service and no past service will be credited in case of reemployment unless the Employee is reinstated with credit for prior service.

Upon initial employment each Employee is entitled to vacation days as follows:

Less Than One Year - One day for each calendar month to June 30, but not more than 10 days. If the Employee is employed before the 16th of the month, credit is given for the month. If the Employee is employed after the 15th of the month, no credit is given.

One Year through Four Years - Ten Days This includes Employees whose first anniversary date occurs in benefit year, but not Employees whose fifth anniversary date occurs in the benefit year(July through June).

Five Years through Nine Years - Fifteen Days This includes Employees whose fifth anniversary date occurs in benefit year, but not Employees whose tenth anniversary date occurs in benefit year(July through June).

Ten Years and over - Twenty Days This includes Employees whose tenth anniversary date occurs in benefit year (July through June).

Computation Year - The computation year for determining the length of vacation to which a newly hired Employee is entitled in any benefit year (July through June) will be the twelve-month period ending on June 30th of that year.

Physical Plant Non-Exempt hourly Employees must complete their 60 working day Introductory Period before being entitled to vacation days, but upon completion of the Introductory Period, will be given credit for the 60 working days service.

Employees may not take less than one-half day vacation at a time. To schedule your vacation time, you should first ask for advance (at least 5 days) approval from your Supervisor. Each request will be reviewed based on a number of factors, including the College’s business needs and staffing requirements. You will be paid for vacation time at your base pay rate as of the time of the vacation. Accrued vacation should be used in the benefit year in which it is accrued. Vacation not used in the benefit year can be carried over for up to a maximum of ten days. There is no provision for accumulation of carried over vacation beyond the ten day maximum.

If your employment terminates, you will be paid for any unused vacation time that has been earned through your last day of work.

Addendum - Athletic Coaches:

Athletic Coaches (Head and Assistant) accrue vacation time the same as other Young Harris College employees. However, due to the unique work schedules of YHC Coaches, they should take their vacations(s) during the following summer period: between the period following the spring graduation ceremony and August 1st of each year. Athletic Coaches will not be required to fulfill customary office hours during the summer period when vacation times are being taken. All coaches are paid as 12-month employees and should continue to complete all duties and responsibilities of their job requirements as required, but during this summer period may do so at times of their descretion.

As a result of the availability of time, coaches will not carry over vacation time from year to year.
