Employees and their immediate family (current spouse, children) can attend YHC for 6.53% of the required tuition for the semester. Courses can be audited for $100 each.
The College wants to provide financial assistance to those Employees who wish to improve their job performance or improve their potential for advancement by engaging in outside educational activities. If the course is offered by YHC it cannot be taken at another College for reimbursement purposes. It is the purpose of this policy to specify the conditions under which this assistance will be granted and the procedures to be followed in the administration of this plan.
Conditions
An Employee may request financial assistance for a course of study that is related to his or her current job assignment or to another job at the College to which he or she might reasonably aspire.
In order to be eligible to receive tuition reimbursement, an Employee must be regularly employed by the College on a full-time basis for one year prior to the beginning of the course. In addition the College must continuously employ the Employee for the total duration of the course (i.e. not terminate for any reason or reimbursement will not be granted). The course of study must be taken at a regionally accredited educational institution. Attendance at the course cannot conflict with the Employee’s work schedule and the course must be directly related to the Employee’s current job assignment or to another job at the College to which he or she might reasonably aspire. The Employee’s Supervisor will be responsible for determining an agreed upon work schedule based on the Employee’s position and no more than two courses (6 hours can be taken at once). The Employee will be responsible for ensuring all missed work is completed and missed time is made up.
If the eligibility requirements outlined above are all met, the employee should first apply for all reasonably available fellowships, grants and scholarships. The College will then reimburse the Employee for the course’s full tuition upon the Employee’s successful completion of the course with a grade of “C” or better. Tuition will not include any laboratory, enrollment or general fees. The purchase of textbooks and lab equipment also will be the responsibility of the Employee.
Financial assistance under this plan will generally be restricted to the cost of six credit hours per semester. Reimbursement is available only when funding is available; this determination is made by the Senior VP for Finance & Administration or Vice President for Academic Affairs (for faculty members) when approving the application, based on the annual budget for Educational Assistance which is determined each fiscal year based on the overall College operating budget for that year. Approval of funds for Educational Assistance are at no point “guaranteed” rather it is based on the budgeted amount of funds available and the amount of funds being requested by applicants for Educational Assistance. If funds are not available at the time of application the application will not be approved by the Senior VP for Finance & Administration or the Vice President for Academic Affairs (for faculty members).
Employees desiring to take courses under this plan must complete an application for “Educational Assistance” in full and submit it for approval at least one week prior to the beginning of the course. This form is the means by which an employee receives prior approval and permission from his/her supervisor to make application for educational assistance. The supervisor’s signature verifies that the employee meets all specified conditions for eligibility. The application can be obtained from Human Resources and submitted to the Senior Vice President for Finance & Administration or VP Academic Affairs (for faculty members) approval. No retroactive approvals will be made. Completed, signed requests are held in the Human Resources or Academic Affairs Offices until the employee presents; (1) verification of an acceptable grade (see above) and (2) proof of tuition payment (i.e., a date receipt).
Upon completion of the course, the Employee must present to Human Resources or Academic Affairs a receipt for tuition and a certification of grade received for the course in order to be reimbursed.
The Employee must remain employed for two years after completion of a course or program paid for by the College, or the Employee must reimburse the College for all costs paid for by the College for such course or program.
College Requests
A College request is one in which the College requests an Employee to enroll in a course of study which will be a direct benefit to the College and the Employee in his current or proposed job assignment.
In cases of College requests, full tuition will be granted before the course is undertaken. Tuition will include any laboratory, enrollment, or general fees. The College will also pay for any required textbooks or lab equipment.
The College's commitment to providing educational assistance should not be understood as guaranteeing that successful completion of a course will result in the College providing additional compensation or job benefits.
The Employee must remain employed for two years after completion of a course or program paid for by the College, or the Employee must reimburse the College for all costs paid for by the College for such course or program.
